Laporte PTO September 12th, 2011 Meeting Minutes

Meeting at the Laporte School at 7 pm

October 29th 2011Carnival: Pirate theme

Planning: Before the Event: Facility Use Form is done

Department leaders:

Games & Volunteers- Sunnie Renskers & Shereese

How many games? (Add DDR/Wii?) 15,
5 for each age group: Preschool/Elementary and Middle School
Will look through games and add some Pirate themed ones
Need to order prizes after seeing what we have left
Need Volunteers for games, etc
Need to call for Cakes

Concessions (including donations)- Amanda Lutgen

Advertising:
Carnival Bucks- Need to get these printed and out.
Just posters and flyers by us or do we want to do a student poster contest? Posters supplies and requirements for the kids will be given out on the 3rd of October to be completed, collected and judged by the 10th. They will be placed around the community during the week of the 10th.

Poster and article ready and out to the following by:
Newspaper releases-Oct 10th
News letter article- Sept 21st
Facebook Event-Oct 1st
Instant Alert- Oct-24th?
Church Bulletins Oct 22nd
School Website- Now
Raffle Donations- Will pull from Bingo Donations
Silent Auction- Jars full of goodies
Donations & Bingo-Sara Bowles and Brenda Davis- Emily Weeks will help with Calls
Request Equipment from the Lions-Brenda
Arrange Pick Up and Delivery and Return-Brenda
Donations for Bingo Prizes-Sara will compile a list of past and potential donors and get out to the committee.
Callers and Helpers- Need callers that know the rules.

At the event:
Décor-can we punch it up a bit?
Balloons- To sell or not to sell?-Need helium tank
Prize Bags with Ed info?
Displaying posters
Communicating what is going on?
Games
Bingo-“Prices” for cards- We will have a flat fee of $.25 per card this year. We will put it on our advertisements and at the door for clarity
Concessions-set prices
Ticket staff
Jail- We will do it if we have a good jailer.

Other Business:
Sled Purchase-We will forego this purchase this year and put the money toward the slide restoration

Request review: Slide funds: Sara will check with Steve Booth to see if we can dedicate the remaining playground funds he donated for the slide restoration. We will also look into resurfacing the playground. JoAnn will get estimates.

Box tops!!!!! We will try and do 3 or 4 collection competitions this year. Teresa agreed to organize on this fall.
Sara will get the password and login to access collection boxes for the contest.

Scholarship Volunteer Requirement- It was a consensus that we would add a volunteer requirement to our scholarships. Srs would be required to volunteer at one of our PTO functions this year and every year following. Sara will find out when the next Sr meeting is and attend.

PTO magazine Subscription- We would like to pursue a subscription again for ideas.

Pregame Meals- We will keep this in mind for BB.
Northwestern’s Choir visit- Oak Hills is interested and so is Mrs Bass. Will continue to pursue. Need dates from Mrs Bass and the Choir director.
Dinner Theater Fundraiser- Sara talked to Mr Hennisgard and the idea was well received. Principal Goodwin is on board too.
Class Parent Get-To-Know-Each-Other Parties-Good idea, but we are pretty busy right now. Maybe later in the year or next year.
